About the job
The Health Care Center is looking for a Health Information Management Administrator to join our growing team! Health Information Management Administrators are responsible for all aspects of health information management operations, from lawful release of information and referral management to processing incoming health information, ensuring that all health information maintains its integrity, accuracy, and security in paper form and in various electronic formats across multiple platforms and systems.
In all aspects of job responsibilities they must safeguard and protect patients’ rights to privacy; ensure that only authorized individuals have access to protected health information; and guarantee that all releases of information comply with the patient’s written request, signed authorizations, HCC policy, state statutes and regulations, and federal HIPAA regulations.
Health Information Management Administrators work autonomously with oversight by the Health Information Services Manager.
As a Health Information Management Administrator, you will:
- Prioritize, manage, and process all aspects of health information as it relates to releases, requests, records management and referral and provider follow-up, all while performing self-audits on all completed work to assure accuracy and confidentiality for the patient and for outside requests for release of health information. Also, using up-to-date knowledge of state statutes and regulations and federal HIPAA regulations in handling patient health information.
- Monitor and oversee incoming health information documents received through the electronic health record fax queue, processing each by identifying, prioritizing, labeling, sorting and then submitting to the appropriate provider in a timely and accurate manner.
- Process and complete authorization requests and releases after ensuring the required HIPAA elements are present. Validate that what is released is accurate and complete as it pertains to the Designated Record Set. Ensures all applicable security policies and processes are followed to support the organization’s secure software development goals.
- Obtain medical records from external sources as requested by HCC providers and nurses, requiring expertise in use of multiple external electronic health information acquisition systems and high-level communication and customer service skills in interactions with hospitals, community specialists and diagnostic facilities in requesting health information.
- Monitor multiple message queues in the electronic health record throughout the day, independently prioritizing and taking action on provider and patient requests.
- Monitor and prioritize referrals initiated by HCC providers in i2i electronic referral system throughout the day. Prepare necessary documentation from the electronic health record and fax referrals to community practices, setting follow-up dates in referral system. Provide oversight from initiation to completion, requiring internal and external provider outreach, review of incoming records, multiple contacts with outside practices for appointment and visit information, and management of associated record requests.
- Handle calls regarding record requests, referrals and general questions from patients, providers and community practices. Insure understanding of request and follow through as promised, always being proactive in identifying concerns or problems.
Required Qualifications
- High school diploma or equivalent.
- Minimum of four years of recent medical office experience to include health information management/medical records management.
- Ability to think critically, identify problems and craft workable solutions.
- Extensive knowledge and understanding necessary to comply with federal HIPAA regulations and state privacy statutes and regulations.
- Excellent attention to detail and the ability to communicate clearly and effectively with a variety of professionals.
- Ability to support internal and external customers and strive for customer satisfaction.
- Excellent understanding and use of Electronic Health Records.
- Prior use of a referral system.
- Ability to read, write and document with correct grammar and spelling and operate basic office equipment.
- Equivalent combination of related education, training and experience may be considered in place of the above qualifications.

- Post High School Coursework related to medical office administration with a concentration in Health Information Management preferred.
- Allscripts EHR experience preferred.
- i2i Tracks referral system experience preferred.
